For six months Prague hosted the rotating presidency of the Council of the EU. Fourteen informal ministerial Councils, a summit, COSAC, and roughly a hundred event days, most running in parallel across the city.

What we delivered

We ran the delegate-facing operation. Four standing teams, each with its own supervisor, were at the Prague Congress Centre, Prague Castle, Hotel Diplomat and Václav Havel Airport, plus ad-hoc teams for European Commission and Parliament meetings and the opening and closing events. One central coordinator held the whole operation together.

The work involved accreditation desks issuing last-minute passes to delegates and press, orientation inside the conference venues, press-room support, gift and material distribution, and catering service at the airport.

Scale

  • Capacity to field over 100 hostesses and promoters on a single day
  • Peak of 32 at Prague Castle and 26 at the Congress Centre
  • More than 12,000 staffed hours delivered
  • Ten order cycles, each closed with a signed handover protocol

Constraints

Every team member needed Czech at C1 and English at B2. Airport staff needed food handling certification. A number of events were classified as sensitive or highly sensitive, which raised the vetting bar for on-site personnel.

Shifts were built around the client's calendar, not ours: days ran from 06:45 starts to 22:00 finishes, and the schedule changed constantly as the presidency programme moved.
