Gold
People's Choice Award

Full staffing and logistics for the Czech Pavilion at World EXPO 2025 Osaka – mobilised in 45 days, awarded People's Choice Gold.

Challenge

  • 45‑day countdown. We had 45 days to recruit and train a bilingual 40‑member team, arrange accommodation and install all infrastructure
  • High‑volume programme. The pavilion hosted roughly 4 business events and 20 cultural performances each week, alongside daily operations and protocol

Solution

  • Operational takeover: We assumed full control of staffing and logistics and had the pavilion running in 45 days
  • Bilingual, mission‑driven team: A 40‑member crew handled concierge, technical and cultural duties; most were bilingual and embraced the project's mission
  • AI translation: An AI‑based system provided live translation for business events, cutting costs and equipment requirements.
  • Rich content: Hundreds of meetings and performances plus a custom glass mascot honoured Czech artistry and earned a silver medal.

Results

  • People's Choice Gold & Top‑5 finishes. The pavilion drew over 1.5 million visitors and won the People's Choice Award – Gold, Silver for Best Mascot, and Top‑5 placements in multiple categories. Only 31 of 188 pavilions received awards, highlighting the Czech project's impact.
  • Sold‑out programmes & smooth operations. Cultural performances were consistently full (140 seats) and business events ran on schedule. A key achievement was the ability to balance the sometimes competing priorities of government stakeholders and pavilion sponsors with the expectations of the general public. While ministries and partners required protocol-heavy VIP programmes, the pavilion also had to remain accessible, welcoming, and engaging for everyday visitors. We kept both sides satisfied, ensuring the pavilion functioned simultaneously as a diplomatic platform and as a vibrant cultural space open to all.
  • Cultural diplomacy. National Day celebrations and curated performances (e.g., Czech Philharmonic and Cirk La Putyka) enhanced Czechia's image and fostered international goodwill.

Key Takeaways for Belgrade 2027

  • Capability to mobilize large, bilingual teams in under two months on tight timelines and complex logistics across borders.
  • Proven ability to merge government protocol with public engagement.
  • Use of technology (AI translation, digital feedback) for efficiency and real-time improvement.
